WriteHero ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how your personal information is collected, used, and disclosed when you use writehero.io and its associated services. This policy describes those processing activities and the privacy choices available to you.

Information We Collect

We collect information you provide directly:

• Name and email address (during sign-up)
• LinkedIn profile URL and public profile data (during onboarding)
• Content you create, edit, or generate within WriteHero
• Billing information (processed by our third-party payment processor)

We also collect automatically:

• IP address and device information
• Browser type and operating system
• Pages visited and actions taken within the platform
• Cookies and similar tracking technologies

How We Use Your Information

• To provide and improve WriteHero's content generation services
• To analyze your writing voice and personalize AI-generated content
• To process payments and manage your subscription
• To schedule and publish posts to LinkedIn on your behalf
• To send transactional emails (sign-in codes, receipts)
• To improve our platform based on usage patterns
• To provide customer support

LinkedIn Data

When you connect your LinkedIn account, we access your public profile information and use it to analyze your writing voice. We use a third-party integration (Zernio) to schedule and publish posts to LinkedIn on your behalf. We do not access your LinkedIn connections, private messages, or any non-public data.

AI Processing

Your writing samples and profile data are processed through OpenRouter using AI models (currently Claude by Anthropic) to generate content matching your voice. We store prompts, generated results, and generation metadata (such as token counts and model used) in account-linked internal logs for product operation, troubleshooting, quality, safety, and cost monitoring. Your content is not used to train AI models by WriteHero.

Sharing with Third Parties

We share information with service providers only as needed to operate the features you use, including:

• A third-party payment processor, for billing and subscription management
• Zernio, for LinkedIn post scheduling and publishing
• Apify, for retrieving public LinkedIn profile and post data you ask us to analyze
• OpenRouter and the selected AI model provider (currently Anthropic), for AI content generation (content sent for generation only)
• Resend, for transactional email delivery
• Crisp, for customer support and chat. When you are signed in, support chat may be associated with your user ID, email, and name.
• PostHog, for product analytics. When you provide an email or sign in, PostHog data may be linked to identifiers such as your user ID, email, and name. PostHog session replay is configured to mask form inputs and designated sensitive text.
• Meta (Facebook), for advertising attribution and conversion measurement through Meta Pixel and the Conversions API. Conversion events may include a hashed email, Meta browser identifiers (fbp/fbc), IP address, user agent, and event context.

We do not sell your personal information. We may disclose information if required by law or to protect our rights.

Cookies

Essential cookies are required for authentication and core product functionality. PostHog events and session recordings, Meta advertising measurement and affiliate attribution start by default, without an initial cookie prompt. You can disable analytics below. Saved refusals and browser privacy signals are respected. Form inputs and designated sensitive content remain masked in recordings. Support chat stays off until you separately allow it. These choices do not control core product functionality.

Data Security

We implement industry-standard security measures including SSL encryption, secure database hosting, and access controls. Payment information is processed by our third-party payment processor and never stored on our servers. However, no method of transmission over the Internet is 100% secure.

Data Retention

We retain your data for as long as your account is active. If you delete your account, we remove your personal data within 60 days, except where retention is required by law. Generated content and posts are deleted when your account is deleted.

Your Rights

You have the right to:

• Access, update, or correct your personal information
• Request deletion of your account and associated data
• Export your generated content
• Opt out of marketing communications
• Disable non-essential cookies

GDPR (European Users)

If you are in the European Economic Area, you have additional rights under GDPR including data portability, restriction of processing, and the right to lodge a complaint with a supervisory authority. The Cookies section describes the collection defaults and the settings available to disable analytics and recordings. Support chat requires a separate opt-in that you can withdraw at any time. These settings do not limit your statutory rights.

CCPA (California Residents)

California residents have the right to know what personal information is collected, request deletion, and opt out of data sales. We do not sell personal information. To exercise these rights, contact us at the email below.

Children's Privacy

WriteHero is not intended for users under the age of 13. We do not knowingly collect information from children. If we become aware that a child has provided us with personal data, we will take steps to remove it.

International Data Transfers

Your information may be transferred to and processed in countries other than your own. We ensure appropriate safeguards are in place for any international data transfers.

Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date. Continued use of the service after changes constitutes acceptance.
